Privacy Policy

Effective October 8, 2026

LuxDomi ("we", "us") makes software that property care companies, owners, vendors, members and guests use to look after homes. This policy explains what personal information we handle, why, who sees it, and the choices you have. It covers luxdomi.com, the LuxDomi app, and our text line and AI concierge (together, the "Service").

The short version

  • We collect what we need to run the Service: accounts, a home's records, work and billing records, and messages.
  • We don't sell personal information, show ads, or share information for advertising. We don't use advertising trackers.
  • AI reads your content to do the jobs described here. Our AI provider is not allowed to train its models on it.
  • Texting is opt-in: it starts when you text us. You can reply STOP at any time. We never share phone numbers for marketing.
  • If a care company brought you to LuxDomi, it controls most of the information about your home, and we handle that information on its behalf.

1. Who is responsible for your information

LuxDomi is used by care companies to run homes for their clients, and by owners who run a home themselves.

  • When a care company uses LuxDomi, the care company decides what goes into its account: the homes, the people, the work and the billing. We process that information for the care company, as its service provider. If you want to see, correct or remove something in a care company's records, ask the care company first. We will help it respond.
  • For everything else, LuxDomi is responsible. That includes your own account and sign-in, our website, the text messaging program, and homes an owner runs directly.

Care companies may offer LuxDomi under their own brand. This policy still describes how the software underneath handles information.

2. What we collect

Account and contact details. Name, email address, phone number, role and organization. Sign-in is handled by our identity provider, so we never see or store your password. If you sign in with Google, Apple or another sign-in provider, we receive your name, email address and profile photo from it.

Business details. Company name, contact details and branding. For vendors, licenses and insurance certificates. For anyone using our tax tools, a taxpayer ID (SSN or EIN).

A home's records. Address, photos, floor plans, rooms, equipment and valuables (make, model, serial number, condition), guides, documents such as warranties and insurance policies, inspection reports, access details such as gate and door codes, and details of guest stays.

Work and money. Service requests, comments, photos, quotes, invoices, statements, approvals and payment records. When you pay online, our payment processor collects your card or bank details. We receive limited information such as the last four digits, the bank name and the payment status. We also keep the record of any bank debit authorization you give.

Messages. Texts to and from the concierge line, including photos and your phone number. Comments, notes and support requests. Emails we send you and whether they were delivered.

Signatures and consents. Your name, the date and time, and your IP address when you sign or approve something.

Information other people give us about you. A care company may add an owner's, guest's, vendor's or club member's name, email address and phone number. An owner may add members of their household.

Information collected automatically. IP address, device and browser type, the pages and actions you use, and when. Cookies needed to keep you signed in (see Section 7). Error reports, and for a sample of sessions a diagnostic recording of the screen with all text masked and images blocked, which we use only to find and fix problems. A log of sensitive actions, such as who viewed an access code.

Photo details. Photos you text or upload can carry details recorded by your camera, such as where and when the photo was taken and the device used. We read and keep these details. We use them to put photos in order and to tell which home a photo is about. If you'd rather not share a photo's location, turn off location for your camera, or remove it when you share the photo.

What we don't collect. We don't track your device's location. The location saved inside a photo you send is the only precise location we receive. We don't collect advertising identifiers.

3. How we use it

  • To run the Service: keep a home's records, route and track work, prepare invoices and statements, and show each person what they are allowed to see.
  • To communicate: texts, emails and in-app notifications about the homes and work you are involved with.
  • To power the AI features described in Section 4.
  • To support payments and keep records of them.
  • To keep the Service secure: prevent abuse and fraud, limit excessive use, and keep audit logs.
  • To give support and fix problems.
  • To improve the Service, including with information that has been aggregated or de-identified so it no longer identifies a person, a home or a company.
  • To meet legal obligations and enforce our terms.

We don't send marketing texts. If we send marketing email, every message will have an unsubscribe link.

4. AI

AI is part of how LuxDomi works. It answers texts on the concierge line, reads photos to build a home's inventory and point out possible problems, reviews inspection photos, reads invoices, suggests updates to a home's records, and helps score a home's condition.

  • What the AI sees. To do a task, we send the relevant content to our AI provider. That can include texts, photos, documents and a home's records.
  • No training on your content. Our agreement with our AI provider does not allow it to train its models on this content. The provider may keep content for a limited time to operate its service and to detect abuse.
  • People stay in charge. Most AI output is a suggestion that a person reviews before anything changes. The concierge can file requests and pass messages to the care team, and it hands a conversation to a person when it should.
  • The concierge says it is AI. It tells you when you first text it and whenever you ask.
  • No high-stakes decisions about people. We don't use AI to decide anyone's eligibility for housing, credit, employment or insurance.
  • AI agents you connect. If you connect an outside AI agent to your account, it receives the access you approve and is governed by that provider's own privacy terms. You can revoke it in your settings.

5. Text messaging

  • You start it. Texting is opt-in. It begins when you text us, either to link your phone to your account or to reach the concierge line about a stay.
  • What we send. Replies to your questions, updates on service requests, approval requests, messages from the care team, job alerts and account notices. Message frequency varies. Message and data rates may apply.
  • Stopping. Reply STOP at any time to stop texts and START to resume. Reply HELP or email support@luxdomi.com for help. You can also unlink your phone in your settings.
  • We don't share your number for marketing. We do not sell, rent or share mobile phone numbers, or the fact that you agreed to receive texts, with third parties or affiliates for their marketing or promotional purposes. Phone numbers and message content go only to the providers that deliver our messages and to the people involved with your home or job.
  • Where texts go. Your texts and photos are kept as part of the conversation with the care team. The care team can read them. They may be attached to a service request, where the vendor doing that job may see the request and its photos.
  • Texting is not private in transit. Messages pass through phone carriers and our messaging providers, who can see their content.

6. Who sees your information

6.1 The people around the home

The Service exists to share the right information among the people looking after a home.

  • The care team sees the records of the homes it manages, including messages on the text line.
  • Owners see their home, the work done on it, their own invoices and statements, and what the care company chooses to share. Items an owner marks as private to their household are not shown to the care company or to co-owners.
  • Vendors see the jobs they are given, including the address, the request, photos, and any access details the care company chose to share with them.
  • Members of a home-share program see the homes they can book, their own stays and their own charges.
  • Guests see the guides shared for their stay.

6.2 Companies that help us run the Service

We use service providers who may process personal information for us, under terms that limit them to providing their service. They fall into these categories:

  • cloud hosting, storage and databases;
  • sign-in and account security;
  • payment processing;
  • AI model providers;
  • text message and email delivery;
  • error monitoring and background processing;
  • maps and weather data.

6.3 Other situations

  • At your direction. When you connect an integration, an outside AI agent or a calendar app, or share a link or QR code.
  • Legal and safety. When we believe it is needed to comply with the law or a valid legal request, to protect anyone's safety, or to investigate fraud, abuse or a security incident.
  • A change to our business. If LuxDomi is involved in a merger, acquisition, financing or sale of assets, information may be transferred as part of it, subject to this policy.

6.4 What we don't do

We don't sell personal information. We don't share it for cross-context behavioral advertising or targeted advertising.

7. Cookies

We use only the cookies and browser storage needed to run the Service: keeping you signed in, protecting your account, and remembering preferences such as light or dark mode. Our payment processor may set cookies on payment pages to prevent fraud.

We don't use advertising cookies, cross-site tracking or third-party analytics. Because we don't sell or share personal information, there is nothing for a "Do Not Track" or Global Privacy Control signal to turn off.

8. How long we keep it

  • We keep information while the account that holds it is active, and afterward for as long as we have a reason to.
  • A home's records are meant to be a lasting history of the home. They are kept for as long as the care company's or owner's account that holds them is active.
  • Items you remove go to the trash and are permanently deleted after 30 days.
  • Financial records, tax records, payment authorizations, signatures and audit logs are kept for as long as the law or a legitimate business need requires, which is often several years.
  • When an account closes, we delete or de-identify its information within a reasonable time, apart from records shared with other users, backups that expire on their own schedule, and anything we must keep for legal, tax, security or dispute reasons.

9. Security

We protect information with measures that include:

  • encryption in transit, and encryption at rest by our hosting and storage providers;
  • separate encryption keys for taxpayer IDs;
  • private storage for sensitive documents, opened only through short-lived links after a permission check;
  • access codes that are hidden by default, with a log of every time one is viewed;
  • role-based access, so people see only what their role and their homes allow;
  • audit logs of sensitive actions.

No system is perfectly secure. If you think your account has been compromised or you have found a vulnerability, email security@luxdomi.com. If a security incident affects your personal information, we will notify you as the law requires.

LuxDomi staff may access account information when needed to provide support, fix a problem, or keep the Service secure.

10. Your choices and rights

In the app. You can update your profile, change your notification settings, unlink your phone, and revoke connected apps and API keys.

Texts and email. Reply STOP to stop texts. Use the unsubscribe link in any marketing email.

Requests. You can ask us to tell you what personal information we hold about you, give you a copy, correct it or delete it. Email privacy@luxdomi.com. We will confirm your identity first and respond within the time allowed by the law that applies to you. If the information belongs to a care company's account, we will direct your request to the care company and help it respond. We may keep information we are required or permitted by law to keep.

State privacy rights. Depending on where you live, the law may give you additional rights, including the right to:

  • know what we collect and how we use and disclose it;
  • access, correct, delete and receive a portable copy of your personal information;
  • opt out of the sale of personal information, targeted advertising and certain profiling (we don't do these);
  • limit the use of sensitive personal information (we use it only to provide the Service);
  • appeal a decision we make about your request, by replying to that decision;
  • use an authorized agent, with written permission we can verify;
  • not be treated differently for using these rights.

California notice. In the past 12 months we have collected these categories of personal information, from you, from other users and from our service providers, for the purposes in Section 3:

  • identifiers and contact details;
  • customer records, including signatures and payment information;
  • commercial information, such as services requested and amounts billed and paid;
  • internet and device activity;
  • approximate location from your IP address, the addresses of homes, and the location saved inside photos you send;
  • photos and videos;
  • professional information, such as licenses and insurance;
  • sensitive personal information: taxpayer IDs, account sign-in details, financial account details, the contents of messages, and precise location saved inside photos.

We disclose these categories to the service providers in Section 6.2 and to the people around the home described in Section 6.1. We don't sell or share personal information as California law defines those terms, including that of anyone under 16. We keep each category for the periods in Section 8.

11. Children

The Service is for adults. We don't knowingly collect personal information from anyone under 18. If you believe a minor has given us information, email privacy@luxdomi.com and we will delete it.

12. Where information is processed

LuxDomi is operated in the United States and offered to people in the United States. Information is processed and stored primarily in the United States.

13. Changes to this policy

We may change this policy at any time by posting a new version. The date at the top shows when it last changed. If a change significantly affects how we use information we already hold, we will also tell you in the app or by email.
